The Solution

The POC took about 5 weeks from sign-off of the Process Design Documents to full implementation. An essential requirement of the design was to ensure the Bot could obtain package label information from the warehouse as packages can then be forwarded out to the customer. This presented the first challenge for the Valenta team – how to capture content for the Bot to process without human intervention supporting the process. The Valenta team leveraged UiPath’s RPA software as part of the solution to address the ‘physical presence challenge.’ Using the RPA software, a picture of the label was taken for every package coming into our warehouse. This  picture was then uploaded into a folder from which the Bot would commence processing. The RPA Bot would then extract the required data from the picture (customer name, supplier name, shipper name, package weight, package dimensions) and enter the information into the freight forwarding application.

Key Implementation Steps for the Engagement

First, we collaborated with the client on setting goals. Based on those goals, we produced a project plan with a timeline to launch their website.

The project plan included the following key phases:

Output

At the end of the BOT schedule, the Success and Exception Report is generated for the day.

The key fields captured for the client are as follows:

  8. Alternate Consignee and Shipper Accounts

The extracted data was mapped to the database setup and integrated into the system via a REST API developed in collaboration with the client’s IT team.

Business Outcomes & Results

  • As a direct outcome of the speed and efficiency gained through RPA, PAS Trinidad made the decision to expand their warehouse capacity, allowing them to handle more business than before.
  • The BOT is currently processing 500 – 600 labels a day and can easily handle scalability as the business grows (As of June 2024).
  • The efficiencies derived from RPA allowed Pas Trinidad to eliminate additional staffing and overtime during peak periods.
  • Labels are processed before and during office hours by scheduling the bot thereby ensuring maximum productivity.
  • Automation of repetitive and time-consuming tasks involved in label processing, freeing up human workers to focus on more value-added activities.
  • Significantly reduced the time required to process large volumes of Labels thereby improving overall functional efficiency.
  • Minimizes errors associated with manual data entry and any errors against the set rules are pushed as exceptions.
  • Utilized Uipath’s ML models and OCR technologies to activity learn and adopt new label types.
  • Comprehensive audit trails and logs of all transactions through the daily BOT Run Reports to help management validate the steps as well as ensure progressive improve the quality of data and the overall databases.
  • Improved customer satisfaction by facilitating quicker shipments and speeding up processes.
