The Solution

Valenta proposed a Robotic Process Automation (RPA) solution that integrated seamlessly with GLR’s existing HR tools (OCC, Indeed, Google Sheets) and improved their recruitment workflow. The RPA, built using UiPath, Google AppScripts, and Python, automated several key stages of their recruitment process.

Key features of the solution included:

  • Job Posting Automation: Automatically posting job openings on relevant job portals.
  • Candidate Screening & Filtering: Leveraging AI to compare CVs with job descriptions and assign a matching score to filter candidates efficiently.
  • Candidate Communication: Automating communication with selected candidates, prompting them to complete forms and advance through the process.
  • Verification Processes: Assisting recruiters in verifying candidate information with local authorities.
  • Test Scheduling: Automatically scheduling medical and psychometric exams for shortlisted candidates.
  • Document Collection: Helping recruiters gather all necessary documents to finalize the contract and send proposals.

This approach ensured that the recruiters could verify that each recruitment step was completed without exception while allowing the bot to handle repetitive tasks like CV filtering and test scheduling.

The Approach

The implementation of the RPA bot took 10 weeks, with two developers working part-time to complete the solution. The bot was optimized to process up to 560 candidate profiles, significantly speeding up tasks that previously consumed excessive recruiter time.

Previously, recruiters spent 10-15 minutes manually screening each candidate, whereas the RPA bot reduced that time to just 2-3 minutes per profile. By integrating with GLR’s HR systems, the bot also ensured that recruiters could follow a streamlined process, from job postings to final contract proposals.
