The Solution

Valenta recommended implementing a Robotic Process Automation (RPA) bot to streamline data extraction and validation. The bot was designed to automatically process the input PDF files received by converting data from multiple formats (F10, F20, F30) into a standard tabular format.

It then extracted relevant information and populated a balance sheet, ensuring that all data was accurately validated. This automation replaced the manual efforts of two full-time employees, drastically reducing handling time and minimizing the risk of human error. Additionally, the RPA bot maintained a log system, providing complete visibility into each transaction, thereby enhancing operational efficiency and accuracy.

 

The Approach

  • Valenta designed and deployed an RPA solution using UiPath to automate data extraction, validation, and entry.
  • Conducted thorough User Acceptance Testing (UAT) to refine the bot’s capabilities in real-world scenarios.
  • The RPA bot used Adobe Reader and UiPath to extract data from multiple PDF formats and automatically insert it into balance sheets in Excel.
  • Three key modules were implemented:

Data Extraction: Captured accounting figures from the input PDF files and organized the data into a tabular format.

Data Cleaning:  Ensured the data was complete, accurate, and consistent after data extraction using advanced parsing algorithms.

Data Insertion: Automated the placement of the extracted data into balance sheets.

  • Human validation was integrated to review and correct any anomalies, ensuring high accuracy.
  • Feedback loops allowed continuous optimization, such as capturing additional data fields and adjusting for new file formats.
  • Exception management procedures were implemented, with a support team handling rare instances of inaccurate data.
  • A Smartsheet log system was used to track bot performance and exceptions.
  • Regular review meetings post-go-live were scheduled to monitor the bot’s performance and adjust as needed.
